Administration Assistant

We are looking for an Assistant to undertake a variety of administrative duties.

About this position

Administration Assistant duties involve a wide range of support activities inside our Company, from the front desk to maintaining our employee database to handling errands. An essential part of your role will be to ensure smooth communication with coworkers and prompt resolution of requests and questions.

Administration Assistant responsabilities will include:

  • Act as Front Desk Representative, undertake all receptionist and clerical duties at the desk of our main entrance
  • Perform all clerical receptionist duties such as filing, photocopying, scanning, receive letters or packages, and distribute them
  • Receiving visitors at the front desk by greeting, welcoming, directing, and announcing them appropriately
  • Answer all incoming calls and redirect them or keep messages
  • Take inventory and order office supplies as needed
  • Attend and manage suppliers and outsourced technicians
  • Maintain digital and physical financial records, enter transactions into internal databases
  • Arrange travel and accommodations, and prepare vouchers
  • Assist in payroll preparation by providing relevant data and file documents

Requirements and Skills

  • ​​Excellent written and verbal communication skills
  • Full professional proficiency in English
  • Superb organizational abilities
  • Outstanding interpersonal skills
  • Good math skills and the ability to spot numerical errors
  • Hands-on experience with MS Excel 
  • Ability to handle sensitive, confidential information
  • Studies in Administration, Accounting, Finance, Labor, Humen Resources, or relevant field are a plus.
